Only an Admin can invite new members. From your Members page, choose Invite member and provide two things:
- Their email address.
- Their outgoing mail server's host and port — the same SMTP relay settings described in SMTP settings, explained. You're providing this on their behalf so their relay exists and is ready the moment they accept, rather than leaving them to fill in a setup form themselves.
They'll get an invitation email with a unique link. Clicking it and registering their own passkey is the whole process on their end — no separate SMTP form, no reply-to-verify step. Possessing that one-time link, sent only to their address, is itself the proof they're really them; their relay activates the moment they accept. See how onboarding works for the full comparison against a founding admin's own send/reply verification.
If the invitation goes unanswered
A pending invitation stays pending until it's accepted or revoked — there's no automatic expiry. If you invited the wrong address, or a colleague never joined, revoke it from the Members page; this also removes the relay that was created alongside it, so the email can be invited again cleanly later if needed.
